You Will

As Executive Assistant to the CEO, Americas, you will be responsible for providing comprehensive support to the CEO.  This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.  You will organize and prioritize critical issues and required information to support the CEO in efficient decision-making.  Sitel Group is a global organization, and our industry is changing rapidly.  As a self-driven administrative professional, your ability to work and adapt quickly while ensuring accuracy will be imperative.

  • Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Work closely with the CEO to keep them informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense of the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
  • Act as a liaison and provide support to the Executive Americas team. Arrange and handle all logistics for meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the CEO’s style and organization policy.
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
  • Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.
  • Work with the Executive Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
  • Prepare budget recommendations. Manage expenses and generate reports.

You Have

 

  • A minimum of 8 years as an executive assistant, office manager, or similar role in a fast-paced environment.
  • High level of maturity and experience working with executive leadership.
  • Works well in both team oriented and self-directed environments.
  • Complete work quickly, react with appropriate urgency to situations that require a quick turnaround, and take effective action.
  • Ability to understand and read P&L reports.
  • A “can-do” and positive attitude.
  • Ability to maintain confidentiality.
  • Strong organizational skills, attention to detail and ability to balance multiple priorities.
  • Effective interpersonal skills, strong communication skills both written and verbal.
  • Adapt to change with ease.
  • Tech-savvy and proficient in Microsoft Office, Slack, and openness to learning other office and communication tools as needed.
