We are looking for a talented and accomplished Facilities Coordinator to join our team.

 

As a Facilities Coordinator, your daily responsibilities will include:

  • Target is to keep deadlines of  existing site supplier contracts as well as analyse and optimise facility costs continuously.
  • Stick to facility budget (capex and opex)
  • Place orders for the referring site directly for those being authorised for in compliance with supervisor, if higher authorisation level.
  • To manage the day to day on site facilities including
  • Co-ordinate a range of FM services and all building related services –hard & soft
  • Liaise & knowledge share with other site facilities coordinators and with the regional facility manager 
  • Ensure site complies with CL FM & H&S policy & procedures
  • Assist with onsite moves and refurbishments
  • Escalate emergency / critical situations to Facilities manager
  • Maintain all FM records and an up to date “on site FM manual”
  • Harness high standards of work and be aware of associate satisfaction
  • Assist with General administration
  • Provides information and assistance to clients and customers.
  • Manage and organise supplier contracts in collaboration with Procurement
  • Continuous analysis of cost saving potentials
  • Monthly budget control of facility areas
  • Control and creation of POs applied for with regard to correct completion, cost control and adherence of processes
  • Secure that all necessary repair and maintenance works are being done
  • Manage Reception and Logistics
  • Manage Parking slots
  • Sustainability and processes 
  • Supervision of local Company Restaurant/Canteen 
  • Support and Facilitate vendors for Events in collaboration
  • Office space Management in collaboration with projects and Management
  • Responsible for beverages and supplies for Premises
  • Responsible for Security related topics/systems and Security Point of contact
  • Manage all building vendors/contracts in collaboration 
  • Manage Reception and all Reception’s tasks and Logistic processes and members 

 


To succeed in the role, you will need to have/be:

  • Advanced level of English (at least C1) 
  • Strong verbal and written communication skills (mandatory)
  • Minimum of 2 years previous experience in Facilities
  • Good organization/time management skills and problem-solving skills
  • Ability to work with a variety of people from diverse backgrounds
  • Ability to organize and prioritize, set priorities and multi-task
  • Ability to adhere to all organizational policies and procedures
  • Able to effectively use Microsoft applications (i.e.: Word, Excel, PowerPoint, Project, Outlook, etc.)
  • Must hold EU citizenship or valid work permit for Greece
  • Be a local candidate or willing to relocate to sunny Athens, Greece
